Otter vs Fireflies for a 10-Person Team: Seats, AI Credits and Recording Controls

Otter Pro looks cheapest per seat, until you try to add a sixth person to the workspace. What do ten seats really cost on Otter and on Fireflies?

Otter vs Fireflies for a 10-Person Team: Seats, AI Credits and Recording Controls
TLDR
  • A ten-person Otter workspace needs a plan beyond Pro's five-billed-user limit. Business is $199.90 per month for ten seats using the displayed annual rate.
  • Fireflies Pro is $100 per month for ten annually billed seats; Business is $190. Choose the tier that covers your storage, analytics and access-control needs.
  • Fireflies advanced AI credits are separate from transcription. The initial Business allowance is a one-time team pool, not 30 credits per person every month.

Otter Pro stops at five billed users per workspace

For a team buying primarily to capture meetings at a low seat cost, start with Fireflies Pro. For an Otter workspace with ten paid members, price Business from the start. Comparing ten Otter Pro seats against ten Fireflies seats would suggest a cheaper arrangement that does not fit Otter's workspace limit.

The buying question is also larger than transcription. Do all ten people need to capture meetings, or do only three people host the calls that matter? Who receives the recap? Who can search old discussions? Does the output have to update a CRM, or is a readable summary enough?

A six-person development, design and product team described switching between these tools for collaboration, then looking for less email noise and better search. That is a workflow problem a cheaper transcription minute cannot solve on its own.

Subscription costs for ten paid seats

The table uses standard displayed US-dollar rates and excludes introductory offers tied to particular payment cards. Annual-plan prices are shown as monthly equivalents; annualized amounts are twelve times those equivalents.

Fireflies Business$190$2,280Evaluate Business features rather than paying for them by default

Check the billing term selected at checkout with Otter or Fireflies. Monthly-billed Otter Business is $30 per person, or $300 for ten. Fireflies Business lists $29 on monthly billing, or $290 for ten. Those subscriptions offer monthly flexibility; the lower monthly equivalents above require annual billing.

At the Business level, the annual-rate difference is $9.90 a month for the whole team. One missed recording, one inaccessible meeting or recurring cleanup work can matter more than that small difference. At the Pro-versus-Business level, make sure the lower Fireflies tier actually covers the job before treating the larger gap as a saving.

Recording, file-import and storage limits

Otter Business distinguishes in-app meeting capture from imported files. Its plan lists unlimited meetings and in-app recordings, but imported-file transcription is capped at 6,000 minutes per user per month. Business also lists up to four hours per meeting and three concurrent meetings. Teams recording live calls and teams uploading an archive of long videos therefore need to check different limits.

Fireflies distinguishes transcription from storage and advanced AI use. Pro lists 8,000 stored minutes per seat; Business lists unlimited storage. Compare the recording allowance, archive capacity and advanced AI usage separately.

During a trial, include the situations that can break your actual schedule: a long workshop, overlapping meetings and an externally hosted call. Verify that the notetaker is admitted, captures the intended language and leaves a usable record. A clean demo call is not enough to judge how the tool behaves across the team's calendars.

Fireflies starts with a one-time team credit pool

Fireflies's credit guide describes the initial allowances as one-time team pools: 20 on Pro, 30 on Business and 50 on Enterprise. Adding ten Business seats does not turn that into 300 recurring free credits every month.

Basic transcription, notes and recaps do not use these advanced-feature credits. Advanced actions such as customized processing and CRM-related AI work can consume them under feature-specific rules. A credit is not automatically one meeting.

The same guide lists purchased subscriptions. For example, 200 monthly credits have a displayed annual-billing equivalent of $16 per month for the team, or $192 annualized. That is an add-on to the seat subscription, not another $16 for every member. Purchased unused credits do not roll over, and automatic upgrades can add spending.

Test the exact advanced action you intend to repeat. If every meeting needs a customized extraction and CRM write, inspect the resulting credit usage across a representative batch before buying the subscription. Unlimited transcription does not answer that budget question.

Control which meetings are recorded and who receives recaps

Decide whether the assistant should join every calendar meeting, only meetings hosted by your team or only explicit invitations. Decide separately who should receive the email afterwards. Recording access and email distribution are different controls.

Fireflies documents teammate autojoin and recap settings. Otter's recording-permissions guide explains notices, notetaker visibility and participant controls. Use those functions to implement your organization's recording policy rather than assuming a visible bot settles every approval requirement.

Begin the rollout with a restricted calendar rule and a small recipient list. Internal planning, customer negotiations and recruiting interviews may need different archives and recipient lists. Have the person responsible for each meeting inspect both its record and the outbound recap before widening access.

Assign responsibility for transcript access and retention

Check how a person loses access when leaving the company, who can delete recordings and how long the business wants them searchable. SSO, SCIM and customized retention appear in enterprise arrangements; paying for Business does not establish that every enterprise control is included.

Fireflies's privacy explanation distinguishes model processing from storage in the meeting workspace. Recordings can remain in the application archive even when the model provider retains no data after processing. Set a retention policy for that archive.

Check task owners, deadlines and CRM fields in each summary

Give both tools the same real meeting and the same target output: decisions, accountable owners, deadlines and the next action. Inspect whether a name was attached to the right speaker and whether the resulting task contains the needed context.

A polished summary still needs correction if someone must replay the call to find out who owns a follow-up task. For a CRM integration, check that the summary reaches the correct record, fills the required fields and respects the permissions the sales team uses.

Measure the time people spend after the recap arrives: correcting speaker names, removing accidental shares, filling missing task fields and moving the output into another system. That remaining work shows how much effort the meeting assistant actually saves.

Which tool should the ten-person team buy?

Start with Fireflies Pro if low-cost transcription is the priority and its storage and features meet your needs. Choose Fireflies Business when the team's required functions justify the upgrade. Choose Otter Business when its meeting experience fits the team better, especially if the Business-to-Business price difference is smaller than the cost of the cleanup work you avoid.

If central identity management or customized retention is mandatory, compare the relevant enterprise offer before committing to either cheaper plan. Start with the people who need recording access. Add seats once you have verified the summaries, assigned responsibility for the recordings and checked who receives them.

Can ten people share one Otter Pro workspace?

The current pricing table caps Pro at five billed users. Price the required larger workspace instead.

Do Fireflies Business credits renew per seat every month?

The initial allowance is a one-time shared team pool. Purchased credit subscriptions follow separate billing rules.

Does unlimited transcription include unlimited advanced AI actions?

No. Transcription and advanced-feature credits are different meters.
