Gmail’s forwarding filter skipped the emails already in your inbox

“Also apply filter to matching conversations” was checked, but the other account never got the emails already in your inbox. How do you send that older batch over?

Gmail’s forwarding filter skipped the emails already in your inbox

In Gmail on a computer, select the older emails your colleague needs and choose Forward as attachment. If the correspondence is all in one conversation, open it and choose Forward all. A forwarding filter can then handle future replies. Applying that filter to matching conversations does not send the messages already in your inbox.

Matching old conversations are not queued for forwarding

Google’s filter documentation explicitly limits forwarding filters to new messages. Finding old mail with the filter’s search criteria shows that those messages match the search; it does not mean Gmail is sending them to the destination.

One Gmail user described selecting 38 matching conversations and recreating the filter roughly six times after no messages arrived. The user also reported that new matching mail failed to forward. That second problem needs its own investigation; the new-message rule explains why the existing batch was not resent, without resolving every delivery failure in the thread.

For a supplier handover, attach last week’s quote, requested revisions, and final reply so your colleague can follow the negotiation. Then set a forwarding rule for new mail from the supplier. Tell your colleague that the earlier correspondence is attached and future replies will arrive automatically, so they know where to look for each.

Select the messages your recipient actually needs

Start in the account that holds the old correspondence. Gmail search operators let you combine sender, subject, and date conditions. For example:

from:[email protected] subject:quote before:2026/10/27

The address and subject are illustrative. This finds incoming quote correspondence from that address. To locate your replies as well, search separately with to:[email protected] subject:quote and select the outgoing messages needed for the handover. A supplier’s second contact may use another address, so review the participants before treating either result list as complete.

Open the earliest and latest items you intend to send and check their dates. Also look for the decision that ends the exchange. A final order titled “Order confirmed” may be missing from a search for “quote,” even though it is essential to the recipient’s next task.

If you want to select individual messages, turn off conversation view under Settings → See all settings → Conversation view, then save. Google documents this option for displaying emails separately. Repeat your search in that view and restore your preferred view afterward.

Before selecting everything, read the correspondence you plan to include. A colleague taking over negotiations may need the initial offer and revisions. A supplier awaiting confirmation may need only the agreed result. These are different packages, even when they concern the same order.

Use attachments for separate emails and Forward all for one thread

For selected messages across several conversations, use Forward as attachment. Google’s instructions describe sending emails as .eml files without downloading them first:

  1. Select the checkboxes beside the emails you want to send.
  2. Open More at the top and choose Forward as attachment.
  3. Check the recipient and the attached messages in the new draft.
  4. Add a subject and a short explanation, then send.

For a quote handover, the explanation could identify the initial quote, requested changes, and final offer, then state which reply is still needed. That gives the recipient an order in which to read the attachments. It also makes a missing final offer easier to notice before either person acts on the earlier price.

The recipient gets a new email containing attached messages. This does not populate their mailbox with separate historical entries at the original arrival dates. Google also notes that opening a downloaded EML file requires a desktop mail client. If the recipient normally works only on a phone, send a small sample first and confirm that they can read it before preparing a large package.

For one complete conversation, open the thread and choose Forward all from More. In Gmail’s toolbar guide, this action applies to the open thread. It is not a command to forward everything in the mailbox.

Material neededActionRead before sending
One messageForward that messageAny earlier correspondence quoted in its body
One complete threadOpen it and use Forward allEvery message included in that conversation
Selected emails across threadsForward as attachmentThe attachment list and the recipient’s next task

A changed subject can start a separate conversation. If “Quote request” became “Final order,” forwarding the quote thread alone may omit the decision. Check the composed message instead of assuming one visible conversation contains the entire project.

Large attachments and document links need another check

Several emails with drawings or photographs can exceed the attachment limit even when the batch contains few messages. Google specifies 25 MB for personal Gmail accounts; Workspace administrators set attachment sending and receiving limits for work and school accounts. Above the applicable limit, Gmail substitutes a Google Drive link.

Inspect the final draft to see whether you are sending attachments or a Drive link. Splitting a handover by job or order can help when different people need different material. Splitting it into arbitrary fragments merely to reduce size can leave a recipient with an initial quote in one email and its correction somewhere else.

When you insert a Drive file, Gmail checks recipient access and prompts for sharing changes if needed. Organizational restrictions still apply, and the original owner may need to adjust access.

Also inspect document links inside the old correspondence. Passing on a message that says “The proposal is here” does not add your colleague to that document’s authorized users. If they see an access request, ask the file owner to grant access to the account they will use. Your own ability to open the proposal does not establish theirs.

Build the future rule without forwarding everything

For selected incoming mail, Google instructs users to disable automatic forwarding and create a filter. Leaving account-wide forwarding enabled and adding a narrower filter does not narrow the account-wide setting.

First add and verify the destination address in the source account’s Forwarding and POP/IMAP or Forwarding settings. Open the verification link sent to the destination, then refresh the source settings page. Use that verified address in the filter’s Forward it action; leave general forwarding disabled when only selected messages should go there.

To create the rule, open Show search options, enter the sender and subject criteria, and inspect the search results. Choose Create filter, select Forward it with the verified destination, and save the filter. To revise an existing rule, use Edit under Settings → Filters and Blocked Addresses.

Do not carry the historical search unchanged into this rule. The earlier before:2026/10/27 condition was intended to locate old correspondence. Remove that cutoff when designing the rule for future arrivals. Decide whether a subject restriction such as “quote” would exclude the order confirmations your colleague also needs.

A reply must meet the filter’s criteria too. If a second supplier contact replies from another address, a rule for the first contact alone may miss it. Include the relevant addresses deliberately instead of enabling all-mail forwarding, which could send unrelated account notices and other projects to the same recipient.

If new mail is missing, check the address, criteria, and spam folders

After saving the rule, receive a new message that matches its conditions. Reopening an old message or marking it unread does not test new incoming delivery. For a sender-and-subject rule, use these checks:

MessageExpected resultIf it differs
New mail matching sender and subjectVisible in both source and destinationCompare the actual fields, verified address, and spam folders
New mail with an unrelated subjectNo forwarding through this ruleCheck account-wide forwarding and other filters
An older matching messageNo resend from the filterSend it directly if the recipient needs it

Spam is excluded from automatic forwarding. Check the source account’s Spam folder and search the destination separately. If a newly received message is present at the source but absent at the destination, record its arrival time, sender, and the rule’s conditions.

On a work account, the forwarding option may be missing because an administrator disabled it. Workspace settings can also restrict forwarding to internal addresses. Give the administrator the new-message details; Email Log Search is available for investigating forwarded messages.

When the arrangement ends, edit or delete the relevant rule under Filters and Blocked Addresses. Disable account-wide forwarding too if you used it. Tell the recipient which older correspondence you sent and when future forwarding ended, so they know whether another reply should still be expected.
